Plan catch-up bookkeeping by identifying overdue periods, gathering statements, tracking missing records, and separating the backlog from monthly work.
When records fall behind, the next step can feel bigger than it needs to be. A catch-up plan starts by defining the period involved and the information available.
The aim is to make the work visible: what is missing, what needs reviewing, and how the project connects to future bookkeeping.
Establish the period and accounts
Start with the last period you believe was complete. Identify the bank, card, and other accounts that need attention after that point.
Do not assume every account is in the same position. One may have complete statements while another has transactions that still need supporting documents.
Gather the evidence
Statements, invoices, receipts, and previous reports help establish the starting point. A bookkeeping system may contain transactions without all the information needed to explain them.
Keep a list of gaps rather than waiting until every document is found. That list helps define priorities and questions for the work.
Separate catch-up work from monthly work
A backlog is a defined period of work. Monthly bookkeeping is an ongoing routine. Scoping them separately makes the responsibilities and fee easier to understand.
If current activity also needs support, discuss how to keep new records organised while past periods are reviewed. The sequence will depend on the records and the agreed scope.
Agree how questions will be resolved
Some transactions will need input from the business. Decide who can answer questions, where those questions will be recorded, and how to track outstanding information.
For an agency, this should fit the existing review and communication process. Client relationships and escalation responsibilities should be clear.
Build the routine that follows
Once the project scope is understood, define the ongoing handover: statements, supporting documents, questions, and month-end review.
